Aircall collects taxes in compliance with local regulations, based on the billing address associated with your account. This article explains how VAT applies depending on your location, and how to manage your VAT number in Aircall.

France

In accordance with French tax regulations, and because Aircall's legal address is in France, a 20% VAT is applied to the total invoice amount for companies with billing addresses in France.

European Union countries

Under the EU VAT directive, companies based in EU countries may be tax-exempt through the reverse charge mechanism (also known as auto-liquidation). To apply this exemption, a valid VAT number must be added to your Aircall account.

VAT number format examples:

  • Spain: ESXXXXXXXXX
  • Germany: DEXXXXXXXXX
Important: Spanish VAT numbers must start with ES. Aircall cannot process VAT numbers that do not include these two letters — this is required for intra-EU transaction reporting under VIES (VAT Information Exchange System). If your VAT number does not start with ES, contact your accountant or tax advisor to confirm the correct format.
Tip: Check the VAT format for your country on the European Commission's VIES portal.
Important: Only users with Owner permission can request VAT number additions or modifications. If you need help, contact our Customer Support team.

How to view your registered VAT number

Steps:

  1. Navigate to the Billing tab.
  2. Scroll to the bottom of the page to find the Billing Information section.
  3. Your VAT number will appear there if one is registered.

Non-European Union countries

For non-EU countries such as Switzerland and Norway, a VAT number can be added if you want it to appear on your invoice PDF. However, Aircall does not charge taxes for these countries.

United Kingdom: VAT effective 1 July 2026

From 1 July 2026, UK customers are subject to 20% VAT. Aircall has launched a UK legal entity (Aircall LDT), and all existing UK contracts are being migrated to this entity. Your service, pricing, and contractual terms remain entirely unchanged.

To ensure your invoices are correctly issued, provide your UK VAT number (format: GBXXXXXXXXX) by replying to the email titled "Your Aircall contract is moving to our new UK entity - action required", or by contacting our billing support team.

How do I reclaim the VAT?Include the VAT amount from your Aircall invoice as input tax in your next VAT return. For most businesses this is a routine process handled by your finance team or accounting software.

Claiming a UK VAT exemption

If your business is eligible for a UK VAT exemption, contact our Customer Support team to have it applied to your account. Two types of exemption are accepted:

  • Exempt by nature of business (for example: financial services, insurance, medical treatment, or education). No HMRC documentation is required; notify us confirming your sector.
Note: Private school fees are specifically excluded from the education exemption.
  • Zero-rated relief (for example: charities). VAT relief formally granted by HMRC. You must provide official HMRC documentation confirming your relief status before the exemption can be applied. Check if your organisation qualifies and how to apply on GOV.UK.

Where can I access my taxes and commissions?

  1. In your Aircall Dashboard > Billing tab.
  2. Go to the Invoices section.

How does Aircall determine my tax liability?

Aircall regularly reviews its tax collection and compliance obligations. When new regulatory or tax requirements apply, Aircall updates its processes to remain compliant with applicable laws.
